OL98: How to Hide a Published Form

This article describes two ways to hide a form in a forms library so that it cannot be seen by other users in your organization.

When hidden forms are published, they cannot be directly accessed by someone. These forms are typically accessed by an action on a custom form. Actions are used to launch another form, such as when a user clicks Reply or Forward on a mail message form. Hidden forms are often used as "second- level" forms when designing an Outlook forms solution. Making a form hidden ensures that users cannot launch the form by itself.

To hide a form, use one of the following methods.

Method 1

When in Form Design mode, on the Properties page of the form click to select the option "Use form only for responses."

Method 2

Use the Manage Forms window. This option is only available if Outlook is installed in Corporate or Workgroup mode.

To use the Manage Forms window, follow these steps:
  1. Make sure your form is already published to a folder or forms library.


  2. On the Tools menu, click Options.


  3. Click Other and then click Advanced Options.


  4. Click Custom Forms and then click Manage Forms.


  5. Using one of the Set buttons at the top of the dialog box, select the forms library that contains your published form.


  6. Click to select the form you wish to hide, and then click Properties.


  7. In the Properties of the form, Click to select the Hidden option and click OK or Close repeatedly to close all of the open windows.


NOTE: An alternate method of accessing Manage Forms is to right-click a folder, and then click Properties. Click the Forms page of the dialog and then click Manage. You must have adequate permissions on the folder in order to have access to the Forms properties.
