SYMPTOMS
When you select text in the outline view of Microsoft Word, the body text
that is not showing between the visible levels is also selected. This
allows the text with assigned heading levels to be rearranged without
mixing up the nonvisible text. This also means that if the text of an
outline is copied, the body text is also copied. When you paste this text
into a program, such as Microsoft PowerPoint, the body text becomes
visible.
CAUSE
This behavior is by design of Microsoft Word.
WORKAROUND
To copy only the levels of text that are showing without copying the body
text, follow these steps:
- In Word 5.x, 6.0, and 98, click Normal on the View menu.
In Word 4.0 and 3.0x, click Outlining on the Document menu (so that
there is no check mark next to Outlining on the menu).
- In Word 6.0 and 98, click Index And Tables on the Insert menu.
In Word 5.x, click Table Of Contents on the Insert menu.
In Word 4.0, click Table Of Contents on the Utilities menu.
In Word 3.0x, click Table Of Contents on the Document menu.
- In Word 6.0 and 98, click the Table Of Contents tab, click Options,
click to select the Styles check box, and click OK.
In all other versions, select Outline under Collect.
- Click to clear the Show Page Numbers check box.
- In Word 6.0 and 98, specify the outline levels you want to copy by
entering the total number of levels into the Show Levels box. In all
other versions of Word, specify the outline levels by entering the first
level in the box next to "From" and the last level in the box next to
"To."
- Click Start, or in Word 6 and Word 98, click OK .
- Select the newly generated table of contents and click Copy on the Edit
menu.
This process creates a copy of only the specified outline headings by using
the table of contents feature and puts this list onto the Clipboard. You
can then paste the outline directly.
NOTE: When an outline is printed, only the visible text is printed.
