XL: Manual Page Breaks Ignored with Fit To Page/Adjust To

SYMPTOMS

In Microsoft Excel, when you set a document to "Fit to x pages wide by x pages tall" in the Page Setup dialog box, manual page breaks do not appear on the worksheet and are ignored in print preview and in the printed output.

NOTE: In Microsoft Excel versions 5.0 and 7.0, it is possible to clear the Tall box to preserve manual horizontal page breaks or clear the Wide box to preserve manual vertical page breaks. This behavior does not occur with later versions of Microsoft Excel.


MORE INFORMATION

To emulate scaling a document to fit a certain number pages and have page breaks at specific rows and/or columns, use one of the following methods, depending on which version of Microsoft Excel you are using.

Method 1

If you are using Microsoft Excel 5.0, Microsoft Excel 7.0, Microsoft Excel 97, or Microsoft Excel 98 Macintosh Edition, use the Adjust To option. To do this, follow these steps:

  1. On the File menu, click Page Setup, and click the Page tab.


  2. Under Scaling, click Fit To and specify pages wide by pages tall.


  3. On the File menu, click Print Preview.

    This forces the document to be scaled according to the Fit To setting.

    Click Close.


  4. On the File menu, click Page Setup again. This time, select the Adjust To option in the Scaling section.

    The percentage the document was scaled to while in print preview appears when this option is selected.


  5. Click OK.


Method 2

If you are using Microsoft Excel 4.0, use the Reduce/Enlarge Scaling option. To determine the reduction percentage required to fit a document to a certain number of pages, follow these steps:

  1. On the File menu, click Page Setup.


  2. In the Scaling section, select the Fit To option and indicate the desired number of pages wide and tall. Click OK.


  3. On the File menu, click Print Preview.

    This forces the document to be scaled according to the Fit To setting.

    Click Close.


  4. Click Page Setup on the File menu again. This time, select the Reduce/Enlarge option in the Scaling section.

    The percentage the document was scaled to while in print preview appears when this option is selected.


  5. Click OK.
