OL98: How to Print Messages Without Heading Fields

SUMMARY

By default, Microsoft Outlook mail messages include heading fields, such as From, To, Cc, Bcc, and Subject information, when printed. This article describes how you can control what field information is printed with the message.

You can control printing of message heading fields by modifying the message form before printing it from Outlook, or by saving the message in Rich Text Format (RTF) and using Microsoft Word to modify and print the message.

To Modify the Message Form in Outlook

  1. Open the mail message in Outlook.


  2. On the Tools Menu, point to Forms, and click Design This Form.


  3. Right-click to select the field you want to remove (select the field, not its label) and on the shortcut menu, click Properties.


  4. On the Validation tab, click to clear the "Include this field for Printing and Save As" check box and then click OK.


  5. Close and save the message.


  6. Print the message from Outlook.


The field removed in step 3 is not printed. Other mail messages will not be affected.

To Modify and Print the Message from Word

To use this method you must use Microsoft Word as your e-mail editor. If Word is not set as your e-mail editor see the "Set Microsoft Word as Your E-mail Editor" section later in this article.
  1. In Outlook, open the mail message.


  2. On the File menu, click Save As.


  3. In the Save As Type list, click to select "RTF Text Format."


  4. Type a name for the message in the File Name box and click Save.


  5. Close the message.


  6. Start Word and open the saved RTF file.


  7. Delete or modify the header fields as necessary.


  8. On the File menu, click Print and OK.


Set Microsoft Word as your E-mail editor

  1. On the Tools menu, click Options.


  2. Click the Mail Format tab.


  3. Under Message Format, click Microsoft Word in the "Send in this message format list." click OK.
