WD: IF Fields Not Visible in Word 6.0 Mail Merge Documents

ID: Q125941

The information in this article applies to:

SYMPTOMS

When you open a Microsoft Word for the Macintosh version 5.1 print merge document in any of the programs listed above, and the document contains IF and ENDIF fields, a blank line appears in place of the IF fields.

CAUSE

Word Version 6.x and Later

Word 6.x and later converts these fields to IF fields, which do not require ENDIF fields. The conditional fields are still part of the document, however, by default, they may not be visible.

Word Version 2.0

The IF and ENDIF fields are converted to REF fields.

In Word version 2.0, error messages appear in place of the REF fields.

RESOLUTION

Word Version 6.x and Later

View the conditional IF fields by showing field codes. To turn on display of field codes, follow these steps:

1. On the Tools menu, click Options.

2. Click the View tab.

3. Click to select (put a check in) the Field Codes check box.

4. Click OK.

The conditional statements should now be visible in the document.

Word Version 2.x

You can view the field codes to see how the Word for the Macintosh fields were converted. On the View menu, click Field Codes.

Remove the REF fields and rebuild the conditional fields by choosing the Insert Merge Field button and then selecting the appropriate Word field.
