Can't Save Address in Envelopes And Labels Dialog Box

SYMPTOMS

You cannot save a delivery address when you are in the Envelopes And Labels dialog box. You can only print the envelope or select the Add To Document option.

This functionality is different than it is in Word version 5.x for the Macintosh.

WORKAROUND

To save a delivery address, add the address to a document and store the address as an AutoText entry. You can use this AutoText entry when you create an envelope in the future.

To do this, follow these steps:

  1. After typing the delivery address, click the Add To Document button.

  2. In the document, highlight the address.

  3. On the Edit menu, click AutoText.

  4. Type a name for the AutoText entry and click the Add button.

NOTE: The name for the AutoText entry should not have any spaces in it.

To insert the AutoText entry as a delivery address in the Envelopes And Labels dialog box, follow these steps:

  1. On the Tools menu, click Envelopes And Labels.

  2. Place the insertion point in the Delivery Address box on the Envelopes tab.

  3. Type the name of the AutoText entry and without inserting a space after the AutoText entry, press COMMAND+OPTION+V to insert the address.

NOTE: Be sure there is not a space after the AutoText entry before pressing COMMAND+OPTION+V or the program will not insert the AutoText entry. An AutoText entry name that has a space following it will not be inserted and the status bar will say: "The specified text is not a valid AutoText name. Use Edit AutoText to create AutoText entries." For example: an AutoText entry name of "Joe Smith " will not work, but "Joe_Smith" will work as will "JoeSmith".

If your AutoText entry includes a space, you can insert the entry if you type the first name of the AutoText entry and then press COMMAND+OPTION+V For example: AutoText entry name of "Joe Smith" will work if just "Joe" is enough letters to uniquely identify the name of the AutoText entry. If you have multiple entries that begin with the same characters, the following message appear in the status bar: "The specified text is not a unique AutoText name. Type more characters."
