Creating Cross-References in a Word Document

SUMMARY

It is often helpful to support or explain a subject by referencing other information in a document--such as tables, figures, equations, and so forth. Word versions 5.0 and 5.1, however, do not have a cross-reference or a dynamic figure-numbering feature. The following workaround allows you to create cross-references using footnote reference numbers.

This feature was been added to Word for the Macintosh version 6.0.

To use footnote reference numbers, insert a footnote reference number at the location of the object to be referenced, and then link a picture of that footnote number at the location it is to be referred to.

Below is an example that illustrates how to cross-reference equations in a document:

  1. From the Format menu, choose Document.

  2. Under Footnotes, choose End Of Document from the Position list. Choose OK. (This step sets the footnotes to compile at the end of the document, since the footnote text is an unnecessary product of using the footnote feature for referencing.)

  3. In a document, type the following sample text.

          Water, Equation (A)
          Text
          Text
          Air, Equation (B)
          Text
    

    Equations are represented by "Equation." "(A)" and "(B)" represent where footnote reference numbers have been inserted. To insert a footnote reference number, place the insertion point at the position where the reference number is to exist, and choose Footnote from the Insert menu. Choose OK.

  4. To refer to these equations, insert a section break formatted as a New Page. Below the section break, enter the following text:

          Air, (REF to B)
          Water, (REF to A)
    

    "REF to B" and "REF to A" are the locations of linked pictures of each footnote number. To link a copy of reference number "(A)":

    a. Select the number. b. From the Edit menu, choose Copy. c. Place the insertion point at the position "(REF to A)." d. From the Edit menu, choose Paste Special. e. Select Picture, and choose Paste Link.

    Use the same steps to reference number "(B)."

If you insert more footnote reference numbers into the document, both the footnote reference numbers and the links to these numbers will automatically update according to their position relative to other footnote reference numbers.
