How to Create Custom Labels in Word for the Macintosh 5.x

SUMMARY

This article describes how to create custom labels in Word by creating a table and using formatting and indents to position the text. Once this table is created, you can save it as stationery or as a template for use later.

You will need the following information:

  • The label width (which is measured from the left side of one label to the left side of the next label)
  • The label height (which is measured from the top of the first label to the top of the next label)
  • The exact size of the sheet of paper the labels are on (on dot matrix labels this is measured from one perforation point to the next perforation point)
  • Number of rows and columns of labels per sheet.

To Create the Custom Labels

  1. Start a new document.

  2. On the Document menu, click Format.

  3. In the Margins area, type the measurements you want to use to indent the labels from the edges of the label sheet.

  4. Click OK.

  5. On the File menu, click Page Setup. Check the page size and the orientation to be sure that they match the size and orientation of your labels.

  6. Click OK.

  7. On the Insert menu, click Table.

  8. In the Number of Columns box, type the number of columns on your label sheet. In the Number of Rows box, type the number of rows on the label.

  9. In the Column Width box, type the width of the labels.

  10. Click the Format button.

  11. In the Row Height box, click the down arrow and select Exactly.

  12. In the box to the right of Row Height, type the height of the labels.

    Note that you must type the number of inches, type a space, and then type the abbreviation "in" (without the quotation marks). You must do this because Word assumes the measurement is given in points. Specifying "in" ensures that Word will use the right measurement. For example, type the following to set the row height to 1.5 inches:

    1.5 in

  13. Click OK.

    The table appears in the document.

  14. With the table still selected, click Paragraph on the Format menu.

  15. In the Indentation Left box, type the amount you want the labels to be indented from the left edge of the table. If you are not sure how much of an indent to set, start with .25.

  16. Click OK.

The page of labels is now set up correctly.

  1. Save the file as a Word document, or save it as Stationery so that you

        can use it again for this same label size.
