XL: Layout Print Option Applies to Selected Worksheets

SYMPTOMS

In Microsoft Excel, when you print multiple worksheets, either by selecting individual sheets, or by printing the entire workbook, the Layout option for individual sheets may be ignored. For example, if one of the worksheets is formatted to print in the "1 up" Layout option, it may be printed with the "4 up" Layout option instead.

CAUSE

This behavior occurs because the Layout option, available when you print to a PostScript printer, applies to the entire print job. Therefore, when you print multiple worksheets at one time, or when you print one print job, each of the sheets is printed with the Layout option that is applied to the first selected sheet. For example, if you print Sheet1 and Sheet2 by clicking the Sheet1 sheet tab, pressing the CTRL key, and selecting the Sheet2 sheet tab, when you print using the Selected Worksheet(s) print option, the worksheets are printed using the Layout option applied to Sheet1.

RESOLUTION

To print multiple worksheets that have different Layout options, print each sheet individually by selecting one worksheet at a time and then clicking Print on the File menu or the Print button on the Standard toolbar.

STATUS

Microsoft has confirmed this to be a problem in the Microsoft products listed at the beginning of this article. We are researching this problem and will post new information here in the Microsoft Knowledge Base as it becomes available.

The Layout option specifies how many pages of your document will be printed on one piece of paper. For example, "1 up" prints one page of your document per piece of paper, "2 up" prints two pages on one piece of paper, dividing the paper in half.

Note that other printing options such as orientation, scaling, and paper size are applied individually to each worksheet, even when you print selected worksheets or the entire workbook. For example, if you print a workbook that contains a worksheet in portrait orientation and a worksheet in landscape orientation, the worksheets are printed in the expected orientation.
