SUMMARY

This article describes how to print envelopes from Word 6.0 and 6.0.1 to the Apple Personal Laserwriter NTR when you print from the Envelopes And Labels dialog box, or when you print envelopes that you generate in a mail merge.

Printing from the Envelopes and Labels Dialog Box

To print from the dialog box, follow these steps:

  1. On the Tools menu, click Envelopes And Labels, and then click the Envelopes tab.

  2. Type addresses in the Delivery Address and the Return Address boxes.

  3. Click Options, and click the Printing Options tab.

  4. Click Face Down and select the Clockwise Rotation check box. (Both options should be selected.)

  5. Under Feed Method, click the right feed method, which is the fourth method from the left.

  6. Click the Envelope Options tab. In the Envelope Size list, click the appropriate size for the envelope you are using (the most common is Size 10 [4 1/8 x 9 1/2 in]).

    NOTE: You can also add delivery point bar codes and change the font or location of the delivery and return addresses in this dialog box.

  7. Open the manual feed tray on the printer and slide the paper guide to the right in order to accommodate the width of the envelope. Insert the envelope face down, with the flap towards the left, along the right edge of the tray as indicated in the diagram.

  8. Click OK and click Print. In the dialog box that appears, click Manual Feed under Paper Source and click Print.

    The envelope should now print correctly.

Printing Envelopes That You Create with a Mail Merge

To print an envelope that you create with a mail merge, follow these steps:

  1. On the Tools menu, click Mail Merge.

  2. In the Mail Merge Helper dialog box, click Create and click Envelopes. Click Active Window or New Main Document.

  3. In the Mail Merge Helper dialog box, click Get Data and click Open Data Source. Click the data file in the dialog box and click Open.

  4. In the dialog box that appears, click Set Up Main Document.

    The Envelope Options dialog box will appear.

  5. Click the Envelope Options tab, and in the Envelope Size list, click the appropriate size for the envelope you are using(the most common is Size 10 [4 1/8 x 9 1/2 in]).

  6. Click the Printing Options tab. Click Face Down and select the Clockwise Rotation check box. (Both options should be selected.)

  7. Under Feed Method, click the right feed method, which is the fourth method from the left side, and click OK.

  8. In the Envelope Address dialog box, click Insert Merge Field and click each field that you want to insert in the Sample Envelope Address box. If you want, click Insert Postal Bar Code to add a postal bar code or an FIM-A courtesy reply mail bar code to your envelopes. Click OK.

    The main document is ready to be merged with the data source so that you can print envelopes.

  9. In the Mail Merge Helper dialog box, click Merge, click Printer in the Merge To list, and click Merge.

  10. Open the manual feed tray on the printer and slide the paper guide to the right to accommodate the width of an envelope. Insert the first envelope face down, with the flap towards the left, along the right edge of the tray as indicated in the diagram.

  11. In the dialog box that appears, click Manual Feed under Paper Source and click Print.

    NOTE: The first envelope will be printed, the printer will go off-line, and the orange "Paper Feed" light will turn on until you insert the next envelope. You must repeat this process for each envelope that you print.

  12. Continue inserting envelopes into the printer until all the envelopes in the mail merge are printed.
